Roles & Responsibilities

1. President

  • Provide leadership and oversight for the organization’s operations.

  • Serve as the primary spokesperson for the association.

  • Preside over board meetings, ensuring effective communication and decision-making.

  • Act as a liaison with external organizations such as the Ontario Lacrosse Association (OLA).

  • Oversee strategic planning, long-term goals, and organizational direction.

  • Work closely with all directors to ensure smooth functioning of the association.

  • Address concerns or disputes from members, parents, or coaches.

2. Vice-President

  • Assist the President in managing the association and assume duties when the President is unavailable.

  • Oversee various committees or working groups.

  • Support the execution of special projects and initiatives.

  • Provide guidance to other board members, ensuring collaboration and teamwork.

  • Take meeting minutes during board meetings, maintain records, and distribute minutes to board members.

  • Address member concerns and help mediate any issues within the association.

3. Treasurer

  • Manage the organization’s finances, including budgeting, accounting, and reporting.

  • Handle all payments, receipts, and financial transactions.

  • Prepare and present financial reports at board meetings.

  • Ensure compliance with non-profit regulations and reporting requirements.

  • Oversee fundraising and financial sustainability efforts.

  • Assist in the development of sponsorship and financial strategies.

4. Registrar

  • Manage the registration process for players, coaches, and team staff (using SportzSoft and OLA forms).

  • Maintain accurate records of player registrations and team compositions.

  • Coordinate with the Treasurer on registration payments and refunds.

  • Assist with planning and coordinating for provincial tournaments and events.

  • Ensure compliance with OLA registration guidelines and deadlines.

5. Scheduling Director

  • Develop and manage the game and practice schedules for all teams.

  • Coordinate facility bookings and manage any scheduling conflicts.

  • Work closely with the Registrar and other directors to align schedules with registration numbers and team needs.

  • Communicate schedule changes promptly to coaches, players, and parents.

  • Assist in organizing special events, such as tournaments or skills camps.

6. Technical & Equipment Director

  • Oversee the purchase, maintenance, and inventory of equipment (e.g., balls, jerseys, first aid kits).

  • Manage equipment washing and repairs, ensuring it is in good condition for all teams.

  • Communicate with facilities regarding floor readiness, shot clocks, and any other needs.

  • Coordinate with the OLA on suspension hearings, appeals, and policy matters.

  • Assist in organizing skills camps at the start of the year.

  • Ensure compliance with safety procedures and facilitate discussions on procedures and policy.

7. Sponsorship & Marketing Director

  • Develop and implement strategies to secure sponsorships and funding for the association.

  • Manage relationships with sponsors, ensuring commitments are met (e.g., logo placements, promotional activities).

  • Oversee marketing efforts to increase awareness of the association and its activities.

  • Handle external communication (social media, newsletters, and promotional campaigns).

  • Collaborate with other directors to promote events, registration, and fundraising initiatives.

8. Time Keeper/Game Sheet Director

  • Oversee the scheduling and training of timekeepers for all home games.

  • Ensure accurate and timely completion of game sheets and score reporting.

  • Maintain game records and liaise with league officials on any discrepancies or issues.

  • Ensure that all timekeeping equipment is functioning correctly and troubleshoot any problems.

9. Referee in Charge (RIC)

  • Schedule referees for all home games, ensuring adequate coverage.

  • Address any rule-related questions or concerns from parents, coaches, or players.

  • Act as the primary point of contact between referees and the association.

  • Ensure referees are informed of league rules, updates, and any policy changes.

  • Handle any referee-related issues or conflicts during the season.

10. Coaching Director

  • Oversees the recruitment, selection, and development of all coaches within the Association.

  • Ensures that all coaches are properly certified and trained according to OLA requirements.

  • Coordinates coaching clinics, workshops, and other professional development opportunities.

  • Acts as the primary point of contact for coaches with questions about strategy, skills development, or player management.

  • Supports coaches in their role and addresses any concerns related to coaching performance or conduct.
